Every couple dreams of a perfect wedding day, and at Casa Real at Ruby Hill Winery, we turn those dreams into reality. But what does it take to create the flawless execution of a wedding day? Today, we’re pulling back the curtain to give you a behind-the-scenes look at the passion, precision, and dedication that goes into every celebration we host.
Early Morning: The Calm Before the Storm
Our day begins early in the morning. The morning is quiet as our staff begins to arrive. There is an undercurrent of excitement as each member sets out to turn a couple’s wedding vision into reality.
Our first team members to arrive are the property managers. They walk the grounds and venue ensuring that everything is pristine for the day ahead. Blowing leaves, setting up a ceremony, and picking up any piece of litter they find, they are the heart of ensuring that Casa Real is a beautiful setting for the upcoming wedding.
Mid-Morning: The Setup Begins
The next team members to arrive are our set-up staff. Each coordinator expertly crafts a detailed floor plan and setup notes for every wedding. This is given to our set-up staff to turn these plans into reality. Setting tables and chairs, adding linens, and setting the china, glassware, and flatware, they handle this all. Polishing silverware, folding napkins, and ensuring glassware is sparkling all fall under their authority as well.
As the deliveries start rolling in, our venue springs to life. Our preferred partners are allowed to begin setup in the morning and they are usually beginning to install everything as the sun begins to rise into the sky. All vendors work in concert together, with assistance from our Event Coordinator, to make sure the couple’s vision is followed. From the precision of the table settings to the strategic placement of lighting, no detail is too small in the pursuit of perfection.
Before The Wedding: Access Time
Non-Preferred vendors arrive 2.5 hours prior to the wedding start time. They begin setting up their services and putting the finishing touches on the wedding decor. Couples also arrive at this time and make themselves home in the Wedding Suite, or walk around the property with their photographer having their First Look. Couples are assigned a wedding team of venue staff members to assist with what they need. Meanwhile, our Event Coordinator communicates with all vendors, the couple, and family members/friends, to make sure all the details are being put in place and the wedding will begin on-time.
The Kitchen: A Symphony of Flavors
As guests begin to arrive for the ceremony or cocktail hour, in the kitchen, our chefs are the conductors of a symphony of flavors. The clattering of pots, the sizzle of pans, and the aromatic scents fill the air as culinary masterpieces are crafted with care. Each dish is treated as an expression of hospitality from the couple to their guests and the culinary team makes sure that the food not only tastes exceptional, but looks exquisite as well.

The Team: Coming Together To Serve You And Your Guests
As soon as guests step onto our property, our staff spring to action. Providing unparalleled service is what they are there for. Our team is comprised of people who love hospitality – taking care of others during an important life milestone. With professionalism and a touch of personal charm, they ensure that every guest feels welcomed and every need is anticipated. They’re not just servers, bartenders, and coordinators; they’re the heart of our venue, committed to making your day as special as you are.
The Finishing Touches & Evening Celebration
As the event begins, our team all plays their roles. Guests are greeted, dishes are prepared, cocktails are crafted, and every detail is checked. This happens throughout the evening as our staff continues to monitor all the details and our Event Coordinator guides the couple and vendors through the wedding timeline.
During the ceremony our staff continues to ready the Grand Salon for dinner service. Our Coordinator takes care of sending the wedding party and couple down the aisle, making sure ties are straight, bouquets are held correctly, and everyone knows what they should do.
Cocktail Hour is a time for our culinary team and bartenders to show off their talents, providing an abundance of food, drinks, and service.
After cocktails, the reception begins and service is like a well-oiled machine. Each department knowing exactly what to do and briefed well by our Coordinators and Managers. Synchronized dinner service takes place, in addition to dinner wine pours, champagne toast pours, and any other needs guests have, by service staff.
All the while, our Coordinator ensures the timeline of milestone events happens on-time and corresponds to the couple’s vision.
Wrapping Up
As the evening comes to a close, our staff bids goodbye to guests and the couple. They stay with the vendors to assist in tearing down the decor and cleaning the venue.
Behind the scenes at Casa Real, every wedding is a personal affair. We pour our hearts into creating a day that not only meets but exceeds your expectations. It’s not just our job; it’s our passion. And this is what makes every event here, truly, a labor of love.
